Each region operating in semi-autonomous offices with their own corporate functions including Commercial, Finance, HR, Compliance & Legal, Customer Service, and Operations.

Purposes of the position:
The Commercial Assistant plays a crucial role in supporting the day-to-day operations of the commercial or business development department. This position involves providing administrative and organizational assistance, coordinating communications, and contributing to the overall efficiency and effectiveness of the commercial team.
Responsibilities and Accountabilities
- Administrative Support:
- Assist in managing the daily administrative tasks of the commercial department, including organizing meetings, scheduling appointments and handling correspondence.
- Documentation and Filing:
- Maintain accurate and organized documentation, contracts and records related to commercial activities. Ensure confidentiality and easy retrieval of information when needed.
- Data Entry and Analysis:
- Enter and analyze relevant data related to commercial transactions, customer interactions, and market trends. Generate reports to support decision-making processes.
- Entering Service & Purchase orders into the system.
- Sourcing:
- Assist the sourcing team where needed to source rates for the commercial team from different vendors.
- Communication Coordination:
- Facilitate communication between internal teams, clients, and external stakeholders. Ensure timely dissemination of information and follow up on action items.
- Customer Relationship Management (CRM):
- Assist in updating and maintaining the CRM system with accurate and current customer information. Support the commercial team in managing client relationships.
- Market Research:
- Conduct research on industry trends, competitors, and market opportunities. Summarize findings for the commercial team’s review and decision-making.
- Proposal and Quotation Assistance:
- Support the preparation of commercial proposals and quotations. Ensure all relevant information is included and assist in the submission process.
- Order Processing:
- Assist in processing and tracking customer orders. Collaborate with logistics and sales teams to ensure timely and accurate order fulfillment.
- Collaboration with Sales Team:
- Work closely with the sales team to provide necessary support, including coordinating sales activities, preparing sales reports and assisting in customer follow-ups.
- Contract Management:
- Aid in the management of contracts, including tracking deadlines, ensuring compliance, and assisting in the negotiation process.
- Campaign Coordination:
- Assist in the planning, execution, and tracking of marketing campaigns. Coordinate with team members to ensure seamless implementation and timely delivery.
- Event Support:
- Support the planning and execution of marketing events, including trade shows, conferences, and service launches. Coordinate logistics, handle registrations and assist with promotional materials.
- Content Development Assistance:
- Aid in the creation and editing of marketing content, including blog posts, social media updates and promotional materials. Ensure consistency in messaging and branding.
Specific requirements for the position:
- High school diploma (Bachelor’s degree preferred).
- Team player, who can immediately bring innovation and creativity to current sales model.
- Exceptional written and oral communication skills, with the ability to communicate with individuals on varying professional levels.
- Business acumen, with strong presentation and negotiation skills.
- Customer service-oriented with an assertive and persuasive approach to work.
- Ability to multi-task and handle shifting priorities.
- Proficiency in computer software (Excel, Outlook, PowerPoint and Word).
- Must have superior organizational skills and ability to work in a fast-paced, deadline-driven environment.
- Solid problem-solving skills and the ability to exercise critical thinking.
