Purpose
The Payroll Officer is responsible for reviewing payroll outputs provided by external vendors, ensuring accuracy, compliance, and alignment with internal policies and statutory requirements. This role supports payroll governance, maintains audit readiness, and provides timely communication to internal stakeholders.
Key Requirements/ Responsibilities:
Payroll Review and Compliance
- Review payroll reports and outputs from the outsourced provider for accuracy and completeness.
- Validate employee data, deductions, benefits, and statutory contributions.
- Ensure compliance with tax laws, labour regulations, and company policies.
- Identify discrepancies and escalate issues for resolution.
Controls and Documentation
- Maintain proper documentation for audit purposes and statutory reporting.
- Support reconciliation of payroll accounts and ensure traceability of changes.
- Assist in preparing compliance reports and year-end reconciliations.
Communication and Vendor Liaison
- Communicate with external payroll provider to clarify queries and resolve discrepancies.
- Monitor vendor adherence to service level agreements (SLAs) and compliance standards.
- Provide timely updates to internal stakeholders on payroll status and issues.
Integration and Collaboration
- Work closely with HR and Finance teams to validate data and ensure accurate reporting.
- Support integration of payroll data with HR and finance systems.
- Collaborate on process improvements and system enhancements.
- Identify payroll risks and control gaps and recommend corrective actions.
- Contribute to continuous improvement initiatives to enhance payroll accuracy, efficiency, and compliance.
Payroll Calendar Management
- Track payroll review deadlines, approval timelines, and statutory submission dates.
- Assist with bonus administration and tax year-end activities.
Payroll Inputs & Change Management
- Reviewing and validating payroll inputs (new hires, terminations, salary changes, allowances, deductions) prior to submission to the vendor.
- Ensuring changes are authorised and supported by approved documentation.
- Maintaining a clear audit trail of payroll amendments.

Qualifications and Experience
- Diploma or degree in Finance, HR, Business Administration, or related field.
- 3–5 years of payroll or finance experience.
- Knowledge of payroll legislation and statutory reporting requirements.
- Familiarity with payroll systems and strong Excel skills.
